This Refund and Cancellation Policy explains how cancellations and refunds are handled for the software development, consultancy, and related professional services provided by AdironPro LLC ("AdironPro," "we," "us," or "our"). It should be read together with our Terms & Conditions and the specific statement of work ("SOW") agreed for your engagement, which prevails in the event of any conflict.
1. Overview
AdironPro provides custom, made-to-order professional services rather than off-the-shelf products. Because our work involves dedicating skilled engineering time to each client, our refund and cancellation terms reflect the effort already invested at the point a cancellation is requested. We aim to handle every cancellation fairly and transparently.
2. Nature of Our Services
Our deliverables — such as custom applications, architecture, integrations, testing, and consultancy — are bespoke and produced specifically for each client. Once work has begun, the time and resources committed to that work cannot be recovered. As a result, fees for services already performed are generally non-refundable.
3. Deposits & Advance Payments
Some engagements require a deposit or advance payment before work begins. This deposit reserves capacity, schedules our team, and covers initial discovery and planning. Deposits are applied against the total project fee. Where a project is cancelled before substantive work has begun, the deposit may be refundable in part after deduction of any time and costs already incurred for discovery, planning, or onboarding.
4. Hourly (Time-and-Materials) Engagements
For hourly engagements, you are billed for hours actually worked. You may scale the engagement up or down or end it with reasonable written notice as set out in the SOW. Hours already worked and invoiced are non-refundable. Any prepaid hours that remain genuinely unused at the point of cancellation may be refunded or credited at our discretion, less any amounts owed.
5. Fixed-Price Engagements
Fixed-price engagements are billed against agreed milestones. Payments tied to milestones that have been completed and delivered are non-refundable. If you cancel mid-milestone, we will calculate the value of work performed up to the cancellation date on a reasonable, pro-rata basis; any amount you have paid in excess of that value may be refunded, and any shortfall will be invoiced to you.
6. Cancellation by the Client
You may cancel an engagement at any time by providing written notice to contact@adiron.pro. Upon cancellation, you agree to pay for all services performed and expenses reasonably incurred up to the effective date of cancellation. We will deliver to you the work completed and paid for as of that date, subject to the intellectual property and payment terms in our Terms & Conditions.
7. Cancellation by AdironPro
We may suspend or cancel an engagement if a client materially breaches the agreement (for example, non-payment), fails to provide information or access needed to proceed, or requests work outside our lawful or ethical scope. Where we cancel for reasons not caused by the client, we will refund any prepaid fees for services not yet performed.
8. Refund Eligibility
A refund may be considered where:
- You cancel before any substantive work has begun (less any discovery, planning, or onboarding costs already incurred).
- You have prepaid for services or hours that remain genuinely unused.
- We are unable to deliver an agreed deliverable and no acceptable remedy can be reached.
Approved refunds are issued to the original payment method within a reasonable period, typically within fourteen (14) business days of approval.
9. Non-Refundable Items
- Services, hours, or milestones already performed or delivered.
- Third-party costs already incurred on your behalf (for example, licenses, subscriptions, cloud usage, or domain fees).
- Discovery, planning, and onboarding work that has been completed.
10. How to Request a Cancellation or Refund
To request a cancellation or refund, email contact@adiron.pro with your name, company, engagement or invoice reference, and the reason for the request. We will acknowledge your request, review it against this policy and your SOW, and respond with a proposed resolution, typically within five (5) business days.
